Job Title: Manager, Operations and Administration

Location: DC, MD, VA (highly preferred)

Reports To: President & CEO

Global Health Council Global Health Council (GHC) is the leading member organization devoted to advancing global health priorities by uniting advocates, implementers, policymakers, and other stakeholders. Using the power of our community’s collective voice, we work across disease areas to drive sustainable funding and equitable policies that improve global health and well-being for all.

Our membership numbers more than 130 members—including associations and coalitions, corporations, foundations, NGOs, academic institutions, and think tanks — that, collectively, work across 150 countries and focus on a broad range of global health issues.

We are seeking a highly motivated, detail-oriented person to serve as our full-time (40 hours a week) Manager of Operations and Administration. The ideal candidate will possess excellent people skills, strong attention to detail, and the ability to multitask in the fast-paced environment of a small and incredibly productive, highly-respected non-profit organization. This role will be responsible for helping to ensure the smooth operation of GHC.  The person in this role will assist with a variety of operational and administrative tasks, including providing support to the CEO  and GHC’s board of directors. While we are a remote office, most of GHC’s staff are located in the Washington, DC metropolitan area and would prefer the person in this position to be as well, although candidates from outside the area will be considered. 

Key Responsibilities:

Operations Management:

  • Oversee the organization’s day-to-day operations, including:
    • Finance monitoring, working with Global Health Council’s finance team to make sure expenditures are on track
    • Complete basic financial tasks, such as processing reports (as needed), reconciling receipts, and assisting with budget tracking.
    • Other administrative functions (501(c)(3) certifications, maintenance of tax-exempt status, etc.)
  • Implement policies, procedures, and systems to improve operational efficiency and ensure compliance with any legal or regulatory requirements.
  • Manage relationships with vendors, contractors, and other service providers.
  • Event management:
    • Provide support to staff on logistical planning, travel arrangements, vendor management, venue selection/management, technical support, and other coordination for GHC virtual and in-person events, including our bi-annual conference.
  • Collaborate with team members to ensure effective communication and coordination across departments.
  • Develop project plans, establish timelines, and track progress toward milestones and deliverables.
  • Assist with data entry, database management, and record-keeping tasks to maintain accurate and up-to-date information, especially for grant reporting purposes.
  • Support special projects and initiatives as assigned by the CEO.
  • Other duties as assigned.

Office Administration

  • Provide administrative support to the CEO and staff, including scheduling meetings, managing calendars, and making travel arrangements.
  • Support the CEO’s work with the Board of Directors by assisting in the coordination of board meetings, including scheduling, agenda preparation, and logistics including, but not limited to:
    • Prepare and distribute meeting materials, reports, and presentations for board meetings and committee meetings.
    • Attend board meetings and record minutes, ensuring accurate documentation of discussions, decisions, and action items.
    • Manage board-related databases, records, and files, ensuring compliance with corporate governance requirements.
    • Support board committees, including organizing meetings, preparing agendas, and assisting with follow-up activities relevant to the Executive Office.

Qualifications:

  • Associate’s degree or equivalent experience preferred.
  • 3+  years of experience in non-profit operations and/or supporting senior executives.
  • Proficiency in Microsoft Office Suite, Zoom Workspace,  and Google Suite of products is required.
  • Working knowledge of Bill.com, Asana, Bloomerang, and/or MailChimp preferred
  • Strong written and verbal communication skills.
  • Detail-oriented with a high level of accuracy in work.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with individuals at all levels.
  • Demonstrated ability to work independently and exercise sound judgment in a fast-paced and dynamic environment.
  • High level of professionalism, integrity, and discretion.
  • Flexibility to adapt to changing priorities and deadlines.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion and professionalism.
  • Experience working in the global health and development sector and/or a membership organization is a plus.
  • Language proficiency in French and/or Spanish is a plus.

Salary Range: $65,000-80,000

On top of the competitive salary that we are offering, 16 paid holidays and 25 paid days off. We provide an excellent benefits plan including parental leave, medical, dental, short-term, and long-term disability, and a robust 401K program.

**The (16) holidays include: All (11) federal holidays, + plus the day after Thanksgiving + plus (4) flexible holidays to meet the religious and cultural needs our diverse staff.
